Billing FAQ

Before you take it to the committee.

How is the student count calculated?

On your enrolled student count as of the start of the academic year. Students who join mid-year are billed pro-rata at renewal; students who leave are removed at renewal. We do not charge for alumni records, staff accounts, parent logins or applicants who did not enrol.

Is there a setup or implementation fee?

No. Configuration, migration of your existing records and role-based training are included in every plan. Enterprise deployments that require on-premise installation or bespoke development are quoted separately, and always before work starts.

What is the minimum contract?

One academic year. Monthly billing is available on Essential and Professional at the higher monthly rate if your finance committee prefers it. There is no penalty for not renewing, and you get a full data export either way.

Can we start with one department?

Yes, and many colleges do. A pilot with one or two departments for a semester is billed only on those students. Expanding to the whole institution is a configuration change, not a re-implementation.

Do you offer concessions for government or aided institutions?

We do. Government, aided and not-for-profit institutions, and colleges serving predominantly rural or first-generation learners, qualify for concessional rates. Tell us about your institution when you get in touch and we will quote accordingly.

What happens if we decide to leave?

You export everything — students, fees, attendance, marks, documents — in open formats (CSV and PDF), at no cost, at any time. Your data remains available for 90 days after the contract ends, then is permanently deleted with a certificate of deletion on request.
